Introduction

The Northern Virginia Technology Council, Inc. (“NVTC”, “we”, “us” or “our”) is a non-profit trade organization that affords its members the opportunity to meet one another, build relationships, attend formal and informal networking and information-sharing opportunities, interact with potential clients and partners, exchange technical, marketing and other information, and socialize with top officials and technology professionals.
NVTC respects your privacy and is committed to protecting your personal information. This Privacy Policy (“Policy”) will inform you as to how we collect, use and disclose information we collect when you visit our website or otherwise share your personal information with us.

The term “personal information” as used in this Policy shall mean any information that enables us to identify you, directly or indirectly, by reference to an identifier such as your name, identification number, location data, online identifier or one or more factors specific to you.

When Does this Privacy Policy Apply

This Policy applies to information collected through the nvtc.org website and related applications offered by NVTC that link to this Policy as well as to information that you provide to us offline. This Policy is effective as of the date set out above.
This Policy does not apply to:

  • Third-party websites that operate independently in accordance with their own Privacy policies.
  • Third-party websites that may be permitted to link to or from our website.

What Are Your Responsibilities When Providing Personal Information?

You may visit our website without providing us with information about yourself, though we do automatically collect logging information as described below. You may voluntarily provide information to us about yourself. You may also provide information to us about another individual (for instance an NVTC member may provide an email address of one of their employees) but only if you have that person’s express consent to provide their information.
When you provide information to us you are responsible to comply with our Terms of Use and all applicable laws. By providing information to us you represent that you agree that we can process it according to this Policy, that you have permission to do so and that your interactions with us comply with applicable data protection laws. You have sole responsibility for any violation.

You should not send us sensitive information such as:

  • Social Security numbers
  • Driver’s License Numbers
  • Usernames or passwords unrelated to this website
  • Racial or ethnic origin
  • Political opinions
  • Religious beliefs
  • Health data
  • Biometric or genetic data
  • Criminal background or trade union membership information.

If you do provide us with sensitive information, you agree that we may process it in accordance with this Policy.

What Kind of Information Do We Collect and Use?

We may collect and process the following personal information that you or others provide to us:

  • Contact information which you provide when corresponding with us by phone, e-mail or otherwise. This includes information you provide when you interact with our website in ways including but not limited to participating in online surveys, registering for events, participating in conference programs, and submitting information, including on any NVTC web-based forms. The information you give us may include, for example, your name, address, e-mail address, phone number, company affiliation and title.
  • Registered account information provided when you choose to register an online account on our website. An online account allows registered users to utilize some portions of our website not available to the general public. We may require that you select a username and password in order to register an account and ask that you provide us with your contact and other information. This registration information may be used, for example, for identification purposes, to communicate with you regarding your account with us or to facilitate the functioning of our website.
  • Membership information about your membership with NVTC including your name, contact details such as address, phone number and email address (business or personal), company name and address, job title and any other information related to your membership. Membership information may be provided by you when you apply for membership in NVTC or it may be provided by your employer on your behalf with your permission.
  • Financial information collected when you are paying for services provided by NVTC. For online payments NVTC uses the services of our third-party payment processors (Glue Up and Paygage). You are redirected to the payment processor’s system to provide your payment card or bank account information and billing information for processing; this information goes directly to the payment processor. NVTC receives confirmation of your payment from the processor but does not receive your full financial account information. For payments made directly to NVTC outside of our website, we will collect and retain your payment information securely. NVTC does not share credit card or other financial account information with other NVTC members, other visitors to our website, or with the general public.
  • Purchase information relating to purchases made by members and non-members of delegate passes and event participation, reports, journals or newsletter subscriptions either in-person or via our website. Purchase information will include information about the purchased item(s), the purchase price, the content and time of the purchase.

We may automatically collect and process the following information from website visitors:

  • Technical logging information. For each visitor to our website, our web server automatically recognizes and logs that visitor’s domain name as well as technical information relating to that visitor, including the Internet protocol (IP) address used to connect your computer to the Internet, browser type and version, time zone setting, browser plug-in types and versions, operating system and platform.
  • Use information. We collect the domain names to get aggregate information on what pages our visitors access. We may also collect and log other information about your use of our website, including date and time of visit, page response times, download errors, length of visits to certain pages, page interaction information (such as scrolling, clicks, and mouse-overs), and methods used to browse away from the page.

Our Use of Cookies and Similar Technologies; Do Not Track

Like most websites, we use cookies, pixels, and similar technologies as well as system logs to collect aggregate (non-personal) information about use of our website by all of our visitors and to help us remember you and your preferences when you revisit the website. These cookies cannot be used to obtain other data from your hard drive, to learn your email address, or to acquire sensitive information about your person or organization.

We currently do not use technology that recognizes a “do-not-track” signal from your web browser.

How We Use Personal Information

Members join NVTC, in part, to facilitate the exchange of information about the vast array of companies, products, services, expertise, and interests represented within Northern Virginia’s technology industry. Members’ information is disclosed or made public with the consent of the member.
The staff of NVTC has access to all information collected from the membership, including all information collected on this website. A visitor’s contact information, including email, postal address, phone and fax numbers, will be used by NVTC to keep the membership informed about NVTC events, activities, opportunities and news. This information might also be used by NVTC to contact visitors regarding their membership status or account status.

We will process your personal information, including disclosing it to third parties, for a purpose described in this Policy, where the processing is necessary for the performance of our obligations under your membership agreement or as necessary for the purposes of our legitimate interests. We may also process your personal information based on your consent or when we are required by law.

We will use your personal information:

  • to carry out our obligations arising from your membership and any other agreement entered into between you and us and to provide you with the information, products and services that you request from us;
  • to update and renew your membership as required;
  • to arrange and deliver conferences, events and programming relevant to your specialist area and subjects of interest;
  • to respond to your questions and provide related membership services;
  • to provide you with information about other events, reports, newsletter subscriptions we offer that are similar to those that you have already requested, provided you have not opted-out of receiving that information;
  • to provide you, or permit selected third parties to provide you with information about other events, books, reports, journals or newsletter subscriptions we feel may interest you, provided you have not opted-out; and
  • to notify you about changes to our membership or related services.

We may use the information we automatically collect primarily for internal review and content improvement. This information may be aggregated to measure the number of visits, average time spent on our website, pages viewed, etc. We use this information to measure the use of our website and to improve the content we offer.
We will combine this information with information you give to us and information we collect about you. We will use this information and the combined personal information for purposes set out in this Policy (depending on the types of information we receive).

Accessing Your Information and Your Choices

NVTC makes every effort to keep its lists and other personal information current and accurate.
Upon request, we provide Site visitors with access to their own contact information, profile information, membership information, financial information, purchase information and certification information that we maintain about them so they can ensure that their information is up to date. If you have registered an online account you can update, amend or delete your information at any time by logging into your online account or by contacting us using the contact information below.

NVTC utilizes email (either directly or through our third-party vendors, Glue Up and Act-On Marketing Automation) as one way of communicating with our members regarding events, news, and other information about your membership and about special promotions or events. If you do not wish to receive promotional e-mails from us in the future, you can use the “unsubscribe” instructions in any email you receive from us or by using the Contacting Us information below. This will not stop us from sending emails about your account or your transactions with us.

Disclosure of Personal Information

We work closely with a number of trusted partners to whom we need to disclose personal information to help us provide the membership services. These include:

  • our affiliates;
  • our professional advisors such as auditors, accountants and lawyers, etc.; and
  • service providers who work with us to help provide the membership services, including data storage, maintenance services, security and marketing agencies.

We ensure that any third-party providers with access to personal information provide sufficient guarantees in respect of the technical and organizational security measures governing the services provided and who can demonstrate a commitment to compliance with those measures.

We do not allow our third-party service providers to use your personal information for their own purposes and only permit them to process your personal information for specified purposes and in accordance with our instructions.
Information about the membership, including information collected on this website, may be made available to members of NVTC and the public in a variety of ways. This includes company names, company addresses, phone numbers, job titles, and other information about NVTC members which may be made available on the website to the public, in NVTC publications, at NVTC events and otherwise.

Contact information collected on this website and otherwise from NVTC event registrants may be provided to event sponsors and speakers.

We may disclose anonymized experiential information or other data with third parties on an aggregated basis without the use of any information that personally identifies you.

We may also disclose your personal information to third parties:

  • to whom we may choose to sell, transfer or merge parts of our business or our assets. Alternatively, we may seek to acquire other businesses or merge with them. If a change happens to our business, then the new owners may use your personal information in the same way as set out in this Policy; and

We do not sell personal information for monetary or other consideration.

Notice to International Visitors

We are headquartered in the United States. If you are accessing our website from outside the United States your personal information will be accessed by us or transferred to us in the United States or to our affiliates, partners, or service providers who are located worldwide. Please be aware that your information will be transferred to, stored, and processed in the United States where our servers are located, and our central database is operated. Disclosing your personal information to us pursuant to this Policy is at your own risk. We strive to comply with laws of jurisdictions in which we maintain operations but we make no representations that the practices described in this Policy are compliant with laws outside those jurisdictions that apply to the collection, security, use and disclosure of personal information. European Data Protection Rights

For European Residents Only. If you are based in the EU, under certain circumstances, you may have rights under the General Data Protection Regulations in relation to your personal information.

Retention of Personal Information

We will store your personal information, in a form which permits us to identify you, for no longer than is necessary for the purpose for which the personal information is processed. We may retain and use your personal information as necessary to comply with our legal obligations, resolve disputes, and enforce our agreements and rights, or if it is not technically and reasonably feasible to remove it. Otherwise, we will seek to delete your personal information within a reasonable timeframe upon request.

Information Security

NVTC uses its best efforts to protect the security of the personal information in its possession consistent with this Policy. We have put in place appropriate security measures to prevent your personal information from being accidentally lost, used or accessed in an unauthorized way, altered or disclosed. We may use standard encryption technology to protect information being transferred to our website, but no method of electronic transmission or storage is 100% secure. If we receive instructions using your log-in information we will consider that you have authorized the instructions.

Children’s Privacy

Protecting children’s privacy is important. Our website is not designed nor intended to be attractive to use by children under the age of 13 and NVTC does not knowingly collect or solicit information from minors. If you are under the age of 13, please do not submit any information to us.
